Check whether the venue connection reaches the internet rather than only its sign-in page. Decide who can approve pictures and who will keep an eye on the screen. If you want videos with sound, test a sample using the same browser and speakers you will use during the event.

Keep a fallback plan: the gallery can still collect contributions if the screen or projector fails, provided guests have a working connection. A readable event link beside the QR code gives people another way in. Avoid telling guests to install a separate QR app when their device already supports scanning; Apple’s official camera instructions describe pointing at a code and tapping its link.

What should you keep after the celebration?

Download important media and open the downloaded files before assuming your backup is complete. Check a photo and a video, then store a separate copy somewhere you control. Ask the provider about formats and export options that matter to you. A shared gallery is useful for gathering memories, but it should not be your only copy of irreplaceable files.
