Set the photography boundaries with speakers.
Some sessions welcome photos; others include material that should not be recorded or shared. Put the conference’s rules beside the gallery invitation and remind attendees that a QR code is not permission to photograph every slide or person. Arrange approval before displaying submitted session images on a public wall.
Place codes where attendees pause.
Registration desks, networking areas, and break spaces give attendees time to scan. A code on a distant presentation screen may be harder to use and can distract from a talk. Pair printed signs with a clickable link in your existing event communications, using the same intended gallery throughout.
Give moderation a shift, not an afterthought.
At a multi-session event, a single organizer may not be available all day. Decide who will check the queue and how they will handle off-topic or sensitive media. Test Upload Permissions and Photo Approval before registration opens. Avoid displaying an unreviewed collection merely because the screen is already connected.
Make the post-event album useful.
Share the gallery with the audience you intended, invite remaining uploads in your own follow-up message, and download the approved media.
