Define the use before asking for uploads.
An internal event album and an external marketing asset library are different uses. Tell attendees what the gallery is for and who will see it. A guest upload does not by itself establish all rights needed for advertising, so use your organization’s permission process before republishing media.
Give the host and moderator clear jobs.
Choose who creates the GLIP event, checks upload permissions, and reviews pending media. Test the guest link while signed out. If a live wall is planned, enable approval when appropriate and assign a person to monitor submissions throughout the display, rather than leaving the task with a busy speaker or organizer.
Treat the venue test as part of setup.
Check guest Wi-Fi access, mobile connectivity, the display device, and the actual screen. Corporate networks may block services or require sign-in. Test a photo and a video from an attendee-style device before the event, and provide a link guests can revisit later if uploading during the session is inconvenient.
Plan the collection’s handoff.
Decide who will download and retain the approved media, and who can answer removal requests. Keep the event gallery distinct from your company’s long-term asset library. If you need multiple events, contracts, or specific integrations, confirm suitability before assuming a single-event purchase covers an ongoing organization-wide program.
