Give the photo request its own place.
Fundraising events can have codes for donations, auctions, and programs already. Label the photo code clearly so guests know it opens an upload gallery. Keep it separate from payment codes, and test the final printed materials so a scan does not send someone to the wrong destination.
Plan the screen with the event producer.
If you use the live wall, coordinate its timing with speeches, sponsor acknowledgments, and presentations. Choose approval settings and assign a moderator before the room fills. A guest photo collection is one part of the show; test it on the venue’s actual display and internet connection.

A photo shared with fellow attendees may not be cleared for a donor campaign or paid advertisement. Confirm the rights and permissions your organization needs before reusing it. Decide who will retain downloaded files and answer removal requests after the event, especially when volunteers hand work back to staff.
