Set ownership with the couple first.
Decide whose account creates the event, who can manage it, and who will keep the downloaded files. Do this before signs are printed or links enter the wedding website. Avoid sharing account passwords as a handoff process; review available event access options and confirm they fit the people involved.
Put the right link into every supplier’s brief.
Provide the stationery designer and website editor with the event’s actual guest share link. Check proofs with a real phone, including the final QR size and contrast. Distinguish the photo code from RSVP, registry, menu, and seating links so guests know which action each one supports.
Assign the screen and queue to a person.
If the couple wants a live wall, coordinate the display, connection, and timing with the venue or AV supplier. Agree who will review uploads when Photo Approval is enabled. A planner managing the ceremony should not also be the unassigned last resort for a busy moderation queue.
Include the gallery in the handoff checklist.
After the wedding, confirm the couple knows how to revisit the gallery, invite remaining contributions, and download their files. Explain that Unlimited is for one event and check each future client’s needs separately. If you need an ongoing partnership or an agency arrangement, discuss it directly before promising it to clients.
